The Challenges
Manual Leave Submissions Left Payroll Exposed to Financial Risk
Aerospec Supplies required employees to submit hard-copy leave forms by the 20th of each month, but this deadline was frequently missed — particularly for Non-Pay-Leave requests. Without a system to enforce submission before payroll processing, the company had limited recourse when employees departed after receiving their salary without submitting the relevant documentation, leaving Aerospec absorbing the financial losses.
The previous HR software lacked paperless application capabilities, forcing the company to rely on physical forms and manual tracking processes. This approach not only created administrative inefficiency but also introduced gaps in payroll accountability that were difficult to close without automated controls.
Claims and medical certificate management were similarly paper-dependent, raising the risk of records being lost or mismanaged. Without a centralised HR system, the team had no auditable record of employee leave and claims activity to rely on.

Claims and medical certificates are managed through a cloud-based workflow, giving HR a centralised and auditable record of all employee submissions. Team-specific payroll oversight improves accountability across Aerospec's diverse workforce, while accelerated pay slip generation and distribution reduces end-of-month administrative pressure.
